Onboarding Procedure(archived)

First, you need to arrange access to the lab. Only access the lab if your access has been approved, or when you can go there together with someone else who has access already. Second, you need to familiarize yourself with some basic house rules for using the lab.

Getting access

  1. Arrange with your supervisor that you can access the lab with a campus card. The lab door is secured. Make sure to close it when you are the last to leave the lab!

  2. An inventory and access to the lab equipment is managed through Clustermarket. If you need to be able to book equipment for use, then create a Clustermarket account. Check out the Clustermarket page whether you will need an account.

House Rules

Please be a responsible user of the lab. The lab equipment is expensive and requires careful handling to avoid repair costs. Therefore, all users should familiarize themselves with the guidelines and protocols for the proper use of the lab’s equipment.

Lab Equipment Usage

If you will be using any of the following platforms, please read the guidelines associated with handling each of these platforms before you start using them.

  3. For any type of equipment, report any defects or malfunctions that occur during or after their use to our lab manager.

 Lab Space Usage

  1. There may be some slots during a week when the lab is booked for an activity. You can check this public Google calendar for the booking status; if the calendar indicates the lab is busy, you cannot work there.

  2. Always return the equipment to their original storing place when you no longer will be using it.

  3. To ensure the safety of the lab, and to avoid causing nuisances for other people outside the lab, please always close the door.

  4. Consumption of food and beverages is not permitted in the lab.

  5. Please don't block emergency cabinets with anything.

  Equipment handling rules

  1. For any equipment you take from the shelf, make sure to pick a matching charger and device or robot.

  2. Please do not install anything on a robot without permission from your supervisor.

  3. If you do not use a robot for a short period of time, please put it in rest mode.

  4. When putting the Nao robot in rest mode, make sure to hold it to prevent it from falling over.

  5. The Nao robot easily falls, so please be careful when using it and do not place it on a desk.

  6. If you will not be using a robot for a long time, make sure to place it back to the designated area on the shelf and make sure it is recharging (connect to power).

  7. Turn off the robot before returning it or transporting it to elsewhere.

  8. Make sure that the robot is charging using the wall power socket after returning it. Also, make sure that the number of the charger matches the robot number (always).

  9. You need to book equipment in Clustermarket and get approval before taking anything out of the lab.

  10. When you transport robots (outside the lab), put them in a suitcase, and also book the suitcase used.
